Cards on ID pending

Hello, and thank you for your help in advance.

My friend and I are both paying for the premium suscription, and I created some deckes and shared them throught ankihub with him. I also made him mantainer of those decks too. When I add cards, they appear to him, but when he does, they stay on ID pending, as if he only was a suscriber (even though I made him a manteiner), and I can not see them. I can not figure out the error and how to fix it, as I apparently did all correctly.

Thank you!!

Thanks for the detailed explanation — that helps narrow it down.

What you’re describing usually means that, from AnkiHub’s perspective, your friend is still treated as a subscriber for that deck, not as a maintainer, even if it looks correct in your settings. In that case, any cards they add will sit in ID pending and won’t sync to you.

Here are the main things both of you should check:

1. Confirm maintainer status on the web (not just in Anki)

On AnkiHub web:

  1. You (the deck owner) go to the deck’s page.
  2. Open Settings → Collaborators (or similar tab).
  3. Under Maintainers, make sure your friend’s exact AnkiHub account (email/username) is listed.
  4. If they’re only in Subscribers, remove them and re‑add them as Maintainer.
  5. Save changes.

Sometimes re‑adding them as maintainer fixes a “stuck” state.

2. Make sure your friend is logged in with the correct AnkiHub account

On your friend’s computer:

  1. In Anki, go to AnkiHub add‑on → Settings.
  2. Confirm the email/username matches the account that you added as maintainer on the web.
  3. If not, log out and log in with the correct account.
  4. After that, press AnkiHub → Sync.

If they added cards while logged into a different account, those edits might not be linked to the maintainer account you gave permissions to.

3. Check that your friend is editing the AnkiHub‑linked deck

Your friend should:

  1. In Anki, open the deck and go to Browse.
  2. Select a card and check the AnkiHub column / note ID fields to confirm it’s linked to the correct shared AnkiHub deck (not a local copy).
  3. If there are multiple similar decks, ensure they’re adding cards to the one that shows as “Linked to AnkiHub deck: [deck name]” in the add‑on.

If the deck isn’t linked correctly, their new cards will stay in ID pending.

4. Both of you: force a full sync with AnkiHub

After confirming the above:

  1. Your friend: AnkiHub → Sync (wait for it to finish; check for errors).
  2. You: AnkiHub → Sync afterwards and then check if the cards still show as ID pending on your side or if they now appear as normal.

5. If it still doesn’t work

If none of this resolves it, it might be a permissions or sync bug. In that case, please reply in your topic with:

  • A screenshot of the Collaborators/Maintainers settings for that deck on AnkiHub web (blur personal info if you want).
  • On your friend’s side: a screenshot of AnkiHub → Sync just after they add a card (including any error messages).
  • Confirmation of:
    • Their AnkiHub email/username
    • That they see the deck as maintainer on the web

With that info, the AnkiHub team can look into your specific deck and account setup.

Hello,

I would be happy to help.

You might double-check if the suggestions that your friend is making are being accepted. If not, it may be that they are only being suggested, and so without them also having been accepted they may simply still be pending suggestions

Those are just guesses, though. It may also be helpful if you can share which deck it is that you’re referencing, as well as any screenshots or details from your friend’s account, otherwise it can be a bit tough to troubleshoot some things in isolation. The more supporting details and screenshots you can share, the easier it may be to be of help :mending_heart:

Hello Brian,

Thanks for your help.

This is one of those decks: https://app.ankihub.net/decks/23aa4b89-0cf0-42e4-8caf-579f78668251

My Ankihub account is coque, and hers is paularuiz (ruiztoledopaula@gmail.com).

We are preparing MIR (Spain’s final medical exam), and we are creating decks for each subject. We are both paying the premium subscription, and I made her maintainer of every deck. However, we have seen that updates that we both make do not upload to the Ankihub web or each other’s Anki’s desktop. They stay on ID pending.

We are a bit frustrated, honestly haha.

Gotcha, that’s helpful thank you.

I do show that you both have active accounts. It won’t likely be related to this issue, though you mentioned both accounts being on the Premium subscription, and I do show that the ‘paularuiz’ account is on a Core subscription, rather than the Premium. Just FYI

Just to make sure: are the screenshots you shared from your computer, or from Paula’s? Just to make sure that I have the right idea

It may be helpful if I can see what Paula sees, just to I’m best able to be of help. Is she seeing any error messages on her end? Do you know which version of Anki she’s on? (This can be checked from the top toolbar: Anki - About Anki).

From there, you mentioned the deck ‘Trauma’, though from one of the screenshots you shared, it appears that many of the notes with the ‘ID pending’ designation are intended for the deck ‘PEDIA’. I do indeed show that there are many note suggestions for this deck that have been suggested, and that have not yet been accepted, and that are from paularuiz:

I can’t promise that’s the issue for all of the pending notes, though just for that individual deck I do see nearly 40 suggestions that are just waiting to be accepted, which may explain at least some of the issues you’re having

You may already know these details, though I’ll share them here just out of due dililgence:

  • General users can suggest changes to a deck, though cannot accept them.
  • Maintainers can both suggest changes, accept their own changes, and accept changes that other folks have submitted.
  • Even for maintainers, though, if they only suggest the changes they are not accepted automatically (this is so that teams of maintainers can still collaborate on suggested changes).
  • This tutorial can walk you through how to accept changes, if it’s helpful: How to accept a suggestion on AnkiHub

Give that a shot, let me know how you fare, and we’ll go from there and hopefully we can get you squared away.

Thanks for your help.

Sorry, I meant Core plan (not Premium).

Her version is this one:

As we are both in Core plan, and maintainers of those, after syncing, I thought changes and new cards were added automatically. I saw your tutorial, and I saw those suggestions, but I thought decks were updated automatically.

On the other hand, I do not know why my own new cards added to those decks do not appear on AnkiHub (my deck has 270 notes, and on Ankihub 60)

Sorry in advance for my ignorance

All good, happy to help anytime. :mending_heart:

Even maintainers have to accept changes. There are always two steps to making changes: submitting the suggestion/s, and accepting the suggestion/s.

You can imagine that, for large decks, one maintainer may suggest a change that still needs to be reviewed by other maintainers (this happens for the AnKing Step deck all the time), and so even maintainers still have to have their suggestions accepted. This looks like what may be going on here

That being said, as a maintainer you do have the option of suggesting a change and accepting that change automatically. This is a feature that is only available to maintainers. It is still the case that suggesting, and accepting, both need to occur (this is always the case), though maintainers do have the option of doing both at the same time

As an example:

As a maintainer, when you suggest a new note, or a change, or anything, you should see a little window like this:

If you submit here, the suggestion is submitted. It is not accepted. Even if you are a maintainer

However, if you are a maintainer you should also have this little option at the bottom in the green box. This allows you to ‘submit without review’, meaning essentially that the suggestion is submitted and accepted all at the same time. If that box is checked, the suggestions are automatically accepted. If that box is not checked (which is what I suspect is happening), the suggestion is submitted but is not automatically accepted.

What I suspect is happening, at least in part, is that Paula is suggesting notes but that those notes are sitting as suggestions and still need to be accepted. This can be done manually from the suggestions page afterward, or can be side-stepped by selecting ‘submit without review’ in which case the suggestions will be submitted and accepted automatically

Hopefully that clears things up a bit, though please let me know if I’ve left anything unclear or if there is anything else I can help with. Happy to be of help however we can. :mending_heart:

Thank you Brian, I think I am starting to get all this.

I think I have all the note that are pending on “ID pending”. I want to submit them without reviewing, but that option is not available:

I tried to just bulk for one deck at a time. I tried with one deck, but this happenned:

So from this screen, these cards have already been submitted. Because they have already been submitted, you won’t be able to submit and accept from this screen. They will have to be accepted from the suggestions page of the deck to which they correspond

I’ll do a quick example; let’s use Paula’s suggestions for the ‘PEDIA’ deck:

From AnkiHub.net:

Then:

Then:

From here, you can accept suggestions that are currently pending. I picked this one deck as an example just because it seemed easier to use as an illustration, though the same basic idea should work for most anything

The suggestions for any given deck can be found on the corresponding deck page (which will be separate for each deck). Thus, if you suggested notes to ‘PEDIA’ (and they have not yet been accepted) the suggestions will be found on the deck page for PEDIA. If they were suggested to a different deck, they will be found on a different deck page, etc., etc.

For this reason, it can sometimes be easier, if you’re studying for a single exam, to have all the cards in a single deck and organize separate subjects via tags and/or subdecks. I’ll drop a quick example here, from the AnKing MCAT deck:

You don’t have to organize things this way, I just thought I’d mention it since you said you were studying for a particular exam and seem to have a lot of separate decks (which can become somewhat confusing, at times, and definitely adds more organization and tracking)

I’m headed out to clinic at the moment, so my responses may be a bit slower for a few hours, but I’ll check back in on you and hopefully we can get you squared away. Please let me know what other questions you have and I’ll do my best to be of help :mending_heart:

Thank you Brian, I edited the prior respond before yours, you can see screenshots from what was happening.

I put all my decks inside a new one called MIR. I delete all my shared decks and shared that new one with Paula, making her maintainer. She subscribed to the deck too.

We both now have all cards (I manually added the cards she tried to upload and could not). We also have tried to add new cards, but it does not allow us to upload the pending ones neither (we can not press the option to bulk).

Is that the way of adding cards? Add and then bulking from pending? Or is there a form of adding without reviewing from the “adding a note” window? I hope I have explained myself.

Thanks

Sorry I want to make sure I understand: you have already added/uploaded all the cards? Or there are cards that you have not yet added/uploaded?

Just for clarity, the very general process of adding a note can be done by following this tutorial: How to Add New Note Type to Existing AnkiHub Deck

For individual users, that is the method. Once the suggestion is there, you’ll have to separately approve the suggestion/s. But, as we discussed before, for maintainers you can suggest and approve all at once.

Hello again Brian,

As I created another new shared deck, she does now have all my notes.

Now I was able to submit (without review) new cards on ID pending, and they upload properly to Ankihub  . However, when I try to upload them the way you tell me, the option is not available:

At least now we can do it from “ID pending”, but I want to learn to do the general way (that may also be faster).

Thank you!!

Oop, that’s my fault: I see that I sent a link to a different tutorial. Try this one: How to Bulk Suggest New Notes

My fault. I was typing while in clinic and I must have copied the wrong link.

Hello again Brian. Sorry to bother you again. The problem persists.

Now I am able to upload cards to Ankihub correctly, they appear on the web. I can see the new notes there after bulkin and sincronizing. However, they do not appear in my girlfriend´s desktop ANki, even though she is a maintainer and she is suscribed to the deck correctly. These are screenshots of her desktop Anki:

That subdeck with 8 notes, for example, should be full of new flashcards I added (that has 357 notes):

(The dark version is my Anki, white is hers)

Thanks for your help and patience, Brian

All good, happy to help.

Just to make sure: can you have her do a few things:

  • Check her Anki version number. Anki - About Anki from the top toolbar. Let me know the version number there.
  • Unsubscribe and resubscribe to the deck.
  • Reset the deck: Resetting Local Changes

Give those that should give us a better idea of what may be going on atm.

Thanks for your response Brian. Her Anki version is 25.09.2. Can it be that I have FSRS algorithm active and she does not? I tried all you said, resetting, unsuscribing and suscribing, and nothing works. I am quite frustrated at this point :frowning:

Damn, okay I’m sorry to hear you’re still running into issues. Let’s see if we can’t dig a bit deeper and figure it out for you. :mending_heart:

It shouldn’t be related to FSRS, I feel pretty comfortable ruling that out.

Just to make sure the obvious:

  • She has the AnkiHub add-on installed, and is logged in?
  • When she syncs with AnkiHub, is she getting an error message or similar?
  • What precisely happened when she reset local changes to the deck? Did it sync with AnkiHub, or no? Any error messages here?

Here in a few minutes I’ll also try to install the deck myself locally as well, just to make sure everything is good on that end. Just to make double-sure. Between those two things hopefully we can get a better sense of what’s going on and hopefully find some solutions for you :mending_heart:

So a couple of things that I notice:

From the image you shared with me of her screen:

It looks like the search bar is empty here, so I can’t entirely see what it is that she’s searching for, or what she brought up.

Installing the deck myself, if I use the ‘MIR’ tag, I show only 13 cards:

However, if I click on the ‘MIR’ subdeck I show almost 1,300 cards:

And from there if I click on the deck itself, I show 1807 cards:

I can’t be sure exactly how you’ve organized the deck, though at least from my end I’m able to install the deck locally and it looks like there are quite a few cards present. So at the very least, if those numbers look appropriate it looks like the deck is appropriately uploaded to AnkiHub and I am able to download and install the deck okay

If those numbers look right to you then it seems likelier the issue may be local to your friend’s collection. If you can share what you find from the above questions it may help zero in on what’s going on there, and hopefully we can find some answers for you. Screenshots are always ideal, just so I can see what you’re seeing (and what she’s seeing)

One way or the other, I’m sure we can figure it out and get you squared away, though. :mending_heart:

Hello Brian,

I have added some cards now, so numbers may differ to yours before.

I have this cards:

For example, there is a subdeck with this number of cards:

I checked that they are all correctly uploaded to Ankihub’s web.

When I check her Anki I see this:

Her number of cards is higher (she did not “bulk without review” her notes yet, so it has to be that), so I guess she does have the cards I upload. However, they do not appear in the proper subdeck:

I think we may be closer to the solution.

Thank you again for all your help Brian.
