Smart search missing cards

Hi! I’ve been having some issues with smart search.

Usually, I can upload lecture notes into the “files” tab and smart search extensively captures cards. Today, I noticed that I was only getting about 30 cards per lecture (I usually get anywhere from 100-200 related cards) and when I manually checked, there were many related cards that the tool missed. I was wondering if there might be a fix for this. Thank you!

Hi maxschermer,

Thank you for reaching out about your Smart Search issue. It sounds like you’re experiencing inconsistent results when using the file upload feature to find relevant cards.

This could be happening for a few reasons:

  1. File format or content: The AI might be processing different file types or content layouts with varying levels of effectiveness
  2. Recent updates: There might have been recent changes to how Smart Search works behind the scenes
  3. Premium subscription status: Make sure your Premium subscription is active, as Smart Search is a Premium feature

Here are some things you could try:

  • Check your AnkiHub add-on version: Make sure you’re using the latest version
  • Try different file formats: If you’re using PDFs, try converting to text files or vice versa
  • Break down larger files: Try splitting your lecture notes into smaller sections
  • Different search terms: If you’re using the search field alongside file uploads, try adjusting your keywords

If these suggestions don’t help, I’d recommend:

  1. Including screenshots of your Smart Search process in a follow-up post
  2. Emailing the team directly at support@ankihub.net with examples of your files and what cards you expected to see

For reference, you can find a tutorial on using Smart Search here: What is Smart Search?

Let me know if any of these suggestions help or if you need further assistance!

Hello,

Thank you for reaching out.

Did this start happening only in the last 2 days? Can you try a previous powerpoint/lecture that gave you 100-200 cards previously and check now and see if it now gives you way less?

@maxschermer if you can share more details and example documents so we can investigate, that would be great!

Hi thanks for your help. I recall this lecture (attached) yielding ~ 150 cards yesterday, but it only comes up with 35 cards today (same filter setting applied). My classmates who use this feature have also been encountering the same issue.

Thanks for the reply. Yes, I tried a lecture that was yielding more cards yesterday and now only yields ~35 cards (please see my reply to the below comment)

I’m having the same issue. Has a fix been identified?

Hello,

I would be happy to help.

Can you help me understand a bit better what specific issue it is that you’re running into? Just since the previous post is a few years old, I’d like to make sure I’m on the same page so we can best be of help

The more context you can share the easier it may be to be of help. Screenshots are ideal, if you can, just so I can see what you’re seeing

Hi Brian,

Thank you for getting in touch. Basically, if I provide it a slide, or a set of lecture notes, or anything in between, I’m getting back 5-30 notes (if any at all)- but manually searching for the same I’m finding hundreds that are relevant. I’ve even broadened my search terms to single words and phrases without help. Examples are attached for reference. When I tried to put in an entire set of lecture notes, it gave me around 20 cards, but the lecture covers so much more than what it came out with. It has never worked this poorly in the past. So I’m wondering if something broke on my end or if it’s a server side issue. I replicated on the ankihub website and it was the exact same results.

On a separate note, the filters are also behaving very oddly. For example, I’ve left it completely blank (no filters) but it will absolutely insist on filtering to only Sketchy (I hate sketchy), but it’s all that will come up.

Slide given:

Gotcha, thanks for including all the screenshots and context that definitely makes it a lot easier to be of help.

To be honest, I’m not certain off the top of my head. Just on a lark, I copied the same text that you used, and ran the search on my end as well and came up with 8 notes returned.

I’m not a developer myself, so I’m likely not qualified to explain what does seem like potentially errant results, though of course I want to be of help so I’ve gone ahead and tagged a couple of folks who are more experienced and knowledgeable than I and hopefully they can take a look for you and give you some feedback, and hopefully insight, as to what may be going on here and how best to go about getting you squared away.

Someone will follow up with you here, or they’ll follow up with me and I’ll follow up with you here, though one way or the other we’ll try go get this figured out for you and get you back to studying :mending_heart:

If there is anything else I can help with in the meantime, though, please don’t hesitate and I’ll do my best

Thank you so much!

Hey Brian,

Could not wait for a fix. Built one myself, not sure if I can make it public so just sharing with you. This is only for Step 1. It takes some time but the results are incredible.

Type in learning objectives /concepts (in a list) and it will come up with an efficient deck that matches the objectives trimmed for duplicitous notes/cards (essentially if there are two identical notes with clozes around the same term surrounded by 98% the same content, e.g., it is teaching the same concept, only one of those notes will show up in the search results saving study time. Users can also filter by tags or decks in the instructions. I included a sample below.

If this is something that can truly be helpful I can share the configuration with your team if they’d like to run with it. My suggestion would be to use an API to convert anKing updates to a .JSON uploaded to the GPT configuration. The process you’re looking at in the image took 47 minutes, but that is largely because it was 13 objectives at once. However, with the right people looking at it (e.g., not a 40-year-old sleep-deprived medical student), the search could be paired down to minutes relying on infrastructure that exists in the database that I don’t understand or have time to understand.

Anyway, if this is something encroaching on territory that is prohibited or IP, please let me know and I’ll take it down. For now it is only accessible by the link, and I’ve shared it with you so far.

Best regards,
