As 2025 passes its midpoint, we thought we’d update you all again on some of the behind the scene progress on the Malleus deck. Apologies for the late newsletter; it’s been a busy few weeks and we have some big announcements this time around. :spiral_calendar: Project Malleus Annual General Meeting (AGM) 2025

As part of our legislative requirements as a registered not-for-profit organisation, Project Malleus is hosting its first ever Annual General Meeting, currently scheduled for Tuesday the 23rd of September at 6:00pm AEST.

At our first AGM, we will be outlining the mission of Project Malleus, our current achievements and goals and objectives over the coming months and years. We will also be hearing speeches from contested Project Malleus positions, and registered members of the organisation (you can register now!) will be able to vote for election nominees (more details below).

We will also:

  • Seek member input into our Constitution, and vote and ratify on proposed amendments from our registered voting members
  • Announce the winner of our ‘Malleus Cup’ for 2025 (so get your card amendment/new card suggestions in quick)
  • Hear from our Maintainer team for 2025 and some of the varied work that’s being worked on behind the scenes
  • Outline how to get involved with Project Malleus in the future
  • Discuss our short and long term goals to improve the Project

:check_box_with_check: Project Malleus Elections 2025

As part of moving forward with the mission of Project Malleus, we are announcing our first election of dedicated positions as part of our new Executive and General committee organisation structure. We are actively looking for passionate medical students and junior medical officers from across Australia and New Zealand interested in medical education to join the Project Malleus team, on either our Executive or General Committee as we scale up our not-for-profit!

To be a part of this process and officially register with the organisation, please fill out the embedded ‘General Member Registration Form’ on our website here; Project Malleus 2026 Elections. It’s completely free! We strongly encourage all active users of the deck to become members of Project Malleus; the registration process takes about 2 minutes and costs nothing! As a general member, you will get a dedicated @malleus.org.au email, which allows you to be looped into organisation communications a lot easier, including meetings and ability to vote at our Annual General Meetings to help inform the direction of the Project.

If, after registering as a general member using the form above you also feel you want to step up into some of our brand new General and Executive Committee roles, you may then proceed to submit your application here to nominate for committee positions up for election for the 2026 calendar year once nominations open on the 11th of August, 2025 at 7:00pm, including;

  • Treasurer (Executive Committee)
  • Sponsorship Officer (Executive Committee)
  • Publications and Promotions Officer (Executive Committee)
  • Lead Malleus Maintainer (General Committee)*
  • Lead Content Review Officer (General Committee)
  • University Malleus Representative (General Committee)
  • Junior Medical Officer Representative (General Committee)
  • General Content Reviewer (General Committee)

The exact roles and responsibilities of the above roles (including the requirements to apply and how the election will be conducted) are outlined in the attached document on our Elections webpage in our embed ‘Election Rules’ document. It is essential that all interested applicants should read this document prior to applying for any position. As this is our first year electing positions to our new Committe structure, the exact responsibilities of each position are currently still being workshopped and we welcome community feedback on this.

We will begin a serious advertising campaign commencing next week (check out our first promo flyer here), and would appreciate assistance with sharing this out far and wide among your MedSocs and beyond to anyone interested in lending a hand! Applications will close on September 9, 2025 at 12:00pm. This Project cannot come together without many bright minds and Anki fanatics working together, so if you believe in the Project, please put your hand up to get involved!

  • Ongoing refinement to the ‘Getting Started’ and ‘Submission Guidelines’ pages to make it more user friendly
  • New easy checkbox guide being developed by one of our newer recruits @Pembrolizumab on how to make a quality cards to the deck (will be published very soon)
  • Introduction of clearer guidelines on the spelling of certain medical terms that best align with the Australian and New Zealand clinical environment (- PoolParty Linked Data Server - Taxonomies, Thesauri, Vocabularies)
  • New Maintainer reviewer guidelines to help with guiding the peer review process (document in progress)
  • New Elections page (Project Malleus 2026 Elections) with more details below
  • Complete overhaul of the Critical Care subjects database (formerly the ‘Emergency Medicine database) with a plan optimise pages for more Anaesthesiology cards
  • Restructuring of the placement of of ‘topic pages’; previously they could be found under many drop-down parent headings under *General tags, however they now all reside under the first tag under each subject database so they aren’t ever hidden to you (we are still going through and updating the deck to reflect this)
  • Slight liberalisation of the peer review processes to facilitate card creation (otherwise there were risks of creating duplicate cards if old cards were stuck in the queue to be reviewed), with !TO_DO!::Peer_Review tags added to cards that will need a dedicated review despite being accepted into the deck

:sparkles: Malleus Cup Updates

Thank you to the dedicated pool of volunteer contributors who constantly improve the Malleus deck, whether that be through commenting on suggestions, submitting changes to cards and especially those creating new cards on topics that are currently lacking in the Malleus deck! :tada:

As mentioned in the last community update, there is 1 point awarded for every 20 accepted change-note suggestions and 1 point per every 5 accepted note-type suggestions submitted from deck creation. This data is publicly sourced from: Statistics for Maintainers · Metabase. It displays in the format of name : total score (x + y), with x referring to points given for new note approvals and y the points calculated for change note approvals. We round down to the nearest full number for calculations.

At our first AGM planned to held on September 23rd later this year, the Malleus Cup will be awarded to the contributor with the highest total score calculated from approved suggestions, and will receive:

  1. A AUD$100 Visa gift card (we will ship this out to you) and;
  2. An official written award for CV purposes and;
  3. A public acknowledgement on our website/social media (if permission granted).

    • We are in ongoing formal discussions with Therapeutic Guidelines about licensing agreements and reproducing their content in our deck while respecting copyright law.

    • We are continuing to tag eMedici questions and align them with existing cards in the Malleus deck.

Given the ongoing time constraints we have with putting these bimonthly newsletters together, after the next update at the start of October, we will be transitioning to Quarterly reports (4 newsletter updates a year) covering 3 months rather than 2 months thereafter.
